General Service Terms
Your Noble Notaries (“we,” “our,” or “us”) provides document handling, notary-related services (when applicable), and apostille coordination services for clients seeking to use documents domestically or internationally. By submitting a request, using our website, or engaging our services, you agree to the following general terms:
-
Service Scope: We assist with document preparation guidance, submission coordination, and processing support based on the information provided by the client. We do not provide legal advice and do not represent clients before any government agency.
-
Eligibility Review: All requests are subject to review for document eligibility. We may request additional information or documentation before accepting an order. If a document is not eligible, we will advise next steps where possible.
-
Client Responsibility: Clients are responsible for providing accurate information (including document type, issuing state, issue date, and destination country) and for supplying valid, acceptable documents. Incomplete or incorrect information may result in delays, additional fees, or rejection by receiving authorities.
-
Payment Requirement: Payment is required in full prior to the commencement of any processing or submission services. No documents will be submitted, scheduled, or processed until payment has been received and confirmed.
-
No Guarantee of Acceptance: Acceptance of an apostille or authentication by a government office, and acceptance by the receiving country, agency, or institution, is determined solely by the issuing authority and the receiving party. Requirements may change without notice and are beyond our control.
-
Appointments & Availability: In-person services, including mobile services, meet-ups, or document drop-offs (when offered), are provided by appointment only and are subject to availability at the time of scheduling.
-
Communication: We communicate primarily via phone, text, and email. Clients agree to receive service-related communications, including confirmations and status updates, using the contact information provided.
-
Policy Updates: These terms may be updated periodically. The version posted on our website at the time services are rendered governs, unless otherwise agreed in writing.
Apostille Processing Disclaimer
An apostille is a government-issued certification governed by the Hague Apostille Convention and is issued exclusively by the appropriate Secretary of State or designated competent authority. Your Noble Notaries does not issue apostilles and has no authority to influence government processing decisions, requirements, or timelines.
-
Government-Controlled Process: All apostille processing times, acceptance, and issuance are determined solely by the applicable government office. Processing timelines may vary based on volume, staffing, holidays, appointment availability, policy changes, or other factors beyond our control.
-
Estimated Turnaround Times: Any turnaround times provided by Your Noble Notaries are estimates only and are based on current government processing trends. Estimates are not guarantees and may change without notice.
-
Document Rejection or Delay: Government offices may reject or delay documents due to formatting issues, certification requirements, document age, issuing authority restrictions, or other compliance matters. Your Noble Notaries is not responsible for rejections or delays caused by government review standards.
-
Destination Country Requirements: Acceptance of an apostille by a foreign country, embassy, institution, or receiving authority is determined by that entity. Additional requirements such as translations, additional certifications, or legalization may be required. Clients are responsible for confirming acceptance requirements with the receiving party.
-
No Guaranteed Outcome: Submission of documents for apostille processing does not guarantee approval, issuance, or acceptance by any government office or receiving authority.
Shipping & Mailing Disclaimer
Your Noble Notaries utilizes third-party carriers, including but not limited to USPS, FedEx, and UPS, for the shipment and return of documents when mailing services are requested by the client. While we take reasonable precautions to ensure proper handling, packaging, and timely dispatch, we are not responsible for delays, loss, damage, or delivery issues once documents are in the possession of the shipping carrier.
-
Third-Party Carrier Responsibility: Shipping carriers operate independently and are solely responsible for transit times, tracking accuracy, delivery performance, and loss or damage occurring during shipment.
-
Estimated Transit Times: Any shipping or delivery timelines provided are estimates only and are not guaranteed. Delays caused by carrier processing, weather conditions, customs inspections, holidays, or other circumstances beyond our control do not constitute grounds for refunds or service fee adjustments.
-
Risk Acknowledgment: By selecting mail-in or return shipping services, the client acknowledges and accepts the inherent risks associated with third-party shipping carriers.
-
Tracking & Insurance: Tracking information is provided when available. Clients are encouraged to request additional shipping options, such as insurance or signature confirmation, if desired. Any claims for lost or delayed shipments must be filed directly with the shipping carrier.
-
Incorrect Address Information: Your Noble Notaries is not responsible for delivery issues resulting from incorrect or incomplete address information provided by the client.
Turnaround Time & Government Processing Delays
Turnaround times for apostille and related services vary based on document type, issuing state, destination country, service level selected, and government processing conditions. Your Noble Notaries makes every reasonable effort to process documents promptly once payment is received and documents are confirmed eligible; however, final timelines are not within our control.
-
Service Level Timeframes: Any service timeframes referenced as standard, rush, or expedited reflect internal handling priorities and estimated government processing conditions at the time of service. These timeframes are not guarantees of completion or return delivery dates.
-
Government Office Delays: Processing times may be impacted by Secretary of State backlogs, appointment availability, staffing limitations, holidays, policy changes, or unforeseen government closures.
-
Expedited Services: Expedited or rush services prioritize submission and handling; however, expedited service does not guarantee same-day or next-day processing unless explicitly confirmed in writing and subject to government availability.
-
External Factors: Delays caused by government agencies, shipping carriers, customs processing, or receiving authorities do not constitute service failures and do not qualify for refunds or service fee reductions.
-
Client Communication: If a significant delay becomes known after submission, we will notify the client when possible; however, the absence of updates does not indicate inactivity or error.
Refunds, Cancellations & Non-Refundable Fees
Due to the nature of apostille processing and the involvement of third-party government offices and shipping carriers, refund eligibility is limited once services have begun.
-
Non-Refundable Services: All service fees are non-refundable once processing has commenced, including but not limited to document review, submission preparation, scheduling, courier coordination, or submission to a government office.
-
Government & Third-Party Fees: Fees paid to government agencies, couriers, shipping carriers, or third-party service providers are non-refundable, regardless of outcome, delay, or rejection.
-
Cancellations Prior to Processing: If a request is cancelled before processing begins and before any third-party or government fees are incurred, a partial refund may be considered at our discretion, less any administrative or review fees already performed.
-
Ineligible or Rejected Documents: No refunds are issued for documents deemed ineligible or rejected by a government office due to document condition, age, format, issuing authority requirements, or inaccurate information provided by the client.
-
Delays & External Factors: Delays caused by government agencies, shipping carriers, customs, or receiving authorities do not qualify for refunds or service fee adjustments.
-
Duplicate or Incorrect Orders: Clients are responsible for reviewing order details prior to payment. Duplicate submissions or errors resulting from incorrect information provided by the client do not qualify for refunds.
Client Responsibilities & Document Accuracy
Clients are responsible for ensuring that all documents submitted for apostille or related services are accurate, complete, and compliant with applicable requirements at the time of submission.
-
Accurate Information: Clients must provide complete and accurate information, including document type, issuing state or authority, issue date, destination country, and intended use. Errors, omissions, or misrepresentations may result in delays, additional fees, or rejection by government offices.
-
Document Validity: Clients are responsible for confirming that documents meet eligibility requirements, including certification status, issuance date limitations, notarization standards, and issuing authority requirements.
-
Certified Copies & Originals: When certified copies or original documents are required, it is the client’s responsibility to ensure the correct version is submitted. Your Noble Notaries is not responsible for delays or rejection resulting from uncertified, altered, damaged, or unofficial documents.
-
Translations & Additional Requirements: Some destination countries, institutions, or agencies may require certified translations or additional steps beyond an apostille. Clients are responsible for confirming such requirements with the receiving party prior to submission.
-
Review Before Submission: Clients are responsible for reviewing all order details prior to payment and submission. Once processing begins, changes may not be possible and may result in additional fees.
-
Timely Responses: Delays caused by a client’s failure to respond to requests for information, documentation, or approval may affect processing timelines and do not constitute service failures.
